This page explains how Latchwrit handles information and how the service is intended to be used. We keep the language practical because the work behind a ready property should be understandable too.

What we collect, why we use it, and how we handle it.
This overview describes the information Latchwrit may handle through the product and public site. We collect what helps us operate a useful property record, respond to people, keep the service secure, and understand which parts of the product are helping.
Information we may collect
The exact information depends on how you use Latchwrit. You choose what to enter into the product, and you can ask questions about information associated with you by contacting the team.
- Account and authentication data, including your email address and the information needed to create, secure, and sign in to an account.
- Contact or support-form submissions, including the message and contact details you provide when you ask for help or share feedback.
- Public readiness answers, which may include a property address, city and state, property type, operator role, portfolio count, hosting or booking platforms, permit or license status, and email address.
- Document-vault records and uploaded or generated materials, such as permits, licenses, insurance, inspection records, safety records, renewal details, and generated or shareable packets. These records can contain information about a property or its operation, so only add information you are authorized to manage.
- First-party analytics and attribution information, such as product events, UTM campaign values, referring page or referrer information, and basic device or request context used to understand how people find and use the site.
- Billing and payment information if paid billing is activated. Payment processing is handled through Stripe when applicable. The current pricing page does not collect payment, and Latchwrit does not claim to store your full card number.
How we use information
We use information for the purposes connected to the way you use Latchwrit and the expectations set when you provide it. That can include:
- Providing a readiness preview and showing published, source-linked catalog information for supported markets.
- Operating a property record, document vault, expiration view, compliance workspace, and generated or shareable packet workflows.
- Supporting users, answering questions, diagnosing problems, and communicating about the service or a request you made.
- Protecting the service, accounts, records, and people who use it, including abuse prevention, access control, auditing, and security monitoring.
- Measuring product use and public acquisition so we can improve the experience, understand demand, and decide which markets or workflows need attention.
- Processing billing, fulfillment, and related account administration if billing is activated for your account.
When information may be shared
We may share information with service providers that help us host, secure, operate, measure, communicate through, or fulfill the Latchwrit service. Those providers receive the information needed for their role and are expected to handle it under their applicable terms and safeguards.
If you use a shareable packet or another sharing feature, the information is shared according to the action you take and the controls shown in the product. Do not share a packet or record unless you are comfortable providing its contents to the recipient.
We may also disclose information when reasonably necessary to comply with law, respond to a valid legal process, protect rights or safety, investigate abuse, or support a business transition such as a merger or asset transfer. We do not sell your property records as a data product.
Retention and deletion requests
We keep information only while it serves a reasonable operational, support, security, measurement, or recordkeeping purpose, subject to backups and other practical constraints. Retention is category-specific rather than a promise of one fixed period for every record.
- Account and document-vault data is generally kept while your account is active and through a deletion request so we can process the request and resolve related support or security needs.
- Readiness leads, public readiness answers, and contact or support submissions are kept as needed to respond, understand requests, prevent abuse, and maintain appropriate business records.
- First-party analytics and UTM or referrer attribution are kept only as long as they remain useful for product and acquisition measurement, with aggregation or removal where practical.
- Billing records are retained according to the needs of the payment processor and applicable business, accounting, tax, fraud-prevention, or legal obligations. Stripe may retain information under its own terms and policies.
Your requests and choices
You may contact us to ask what information we have associated with you, request a correction, ask us to delete information, or ask a privacy question. We may need to verify the request and may retain limited information where necessary for security, legal, or business recordkeeping reasons.
For an account or vault deletion request, tell us the email used with the account and describe the records you want removed. Deleting information can affect your ability to use the account or recover a property record.
Privacy contact
For privacy questions, access or correction requests, or a deletion request, contact the Latchwrit team at latchwrit-2@polsia.app. Include enough context for us to understand the request, but do not send passwords, full payment-card numbers, or other secrets by email.
02 / Terms of service
Use the service to keep the record useful and current.
These terms describe the basic agreement for using Latchwrit. They are meant to set clear expectations around the product, your records, and the limits of a readiness tool. They are not a substitute for review by qualified counsel.
Service scope and catalog coverage
Latchwrit provides tools for organizing short-term-rental property records, tracking documents and renewals, reviewing readiness information, and preparing packets or other operational views. Public readiness catalogs are limited and may change as sources are reviewed.
At present, the public catalog includes source-linked coverage for Orlando and Tampa. A city appearing in the product does not mean every rule, agency, property type, or current change is covered. Unsupported or unpublished markets should be treated as not yet verified by Latchwrit.
Your responsibilities
You are responsible for using the service with appropriate care and for keeping the records you control accurate, authorized, and current. A Latchwrit record is only as useful as the information and sources behind it.
- Provide information you have the right to provide and maintain, including property, team, document, and contact details.
- Review readiness previews, source links, expiration dates, and generated packets before relying on them or sharing them.
- Confirm requirements with the relevant city, county, state, platform, insurer, or other authority, especially when circumstances or rules change.
- Keep account credentials private and tell us promptly if you suspect unauthorized access or an incorrect record.
No legal or compliance guarantee
Latchwrit is an organizing and readiness product, not a law firm, attorney, regulator, inspector, insurer, or licensing authority. It does not provide legal advice or guarantee compliance, approval, eligibility, licensing, permitting, safety, insurance coverage, or continued operation of a property.
Published sources can be incomplete, outdated, interpreted differently, or changed after a catalog is reviewed. Use the original authority and qualified professionals for decisions that affect your property, business, guests, staff, or legal obligations.
Acceptable use
Use Latchwrit lawfully and in a way that protects other users, the service, and the records entrusted to it. You may not misuse the service or attempt to bypass controls.
- Do not use Latchwrit to violate a law, another person’s rights, a contract, or a platform or agency rule.
- Do not upload malicious code, probe or disrupt the service, scrape protected areas, impersonate another person, or attempt unauthorized access.
- Do not use the service to store information you are not authorized to manage or to make high-stakes decisions without independent review.
Accounts and security
Some features require an account. You are responsible for the accuracy of your account details, protecting your sign-in method, and activity that occurs through your account unless it resulted from a security failure on our side. We may limit, suspend, or secure an account when needed to protect people, records, or the service.
Your content and generated packets
You keep your rights in the property records, documents, notes, and other content you provide. You give Latchwrit the limited permission needed to host, process, display back to you, generate packets, provide requested sharing features, support the product, and keep the service secure.
Generated or shareable packets are prepared from the information and sources available at the time. Review them before sharing or using them, and revoke or stop sharing a packet when it is no longer appropriate. You are responsible for the recipients you choose and the decisions made from your content.
Current beta and future billing terms
The current launch experience is informational and does not collect payment. There is no current paid subscription to cancel and no current payment to refund. If Latchwrit activates paid plans, the applicable checkout, plan, renewal, cancellation, taxes, and refund details will be shown or provided before a charge. Payment processing may be handled by Stripe, and additional processor terms may apply.
Availability and termination
We work to keep Latchwrit available and useful, but the service may change, pause, or become unavailable for maintenance, security, upgrades, provider issues, or circumstances outside our control. We may discontinue features or end access when necessary, including for misuse or nonpayment where applicable.
When access ends, your ability to retrieve records may end too. If you need a copy of information, request it while the account or feature is available and keep your own appropriate backups of records you are responsible for.
Limitation of liability
To the maximum extent permitted by applicable law, Latchwrit and the people who operate it will not be responsible for indirect, incidental, special, consequential, exemplary, or lost-profit damages arising from or related to the service, its availability, the public catalogs, your records, or your reliance on a readiness preview or packet. This section does not limit responsibility that applicable law does not allow us to limit.

Questions about the service or these terms can be sent to latchwrit-2@polsia.app. We may update these terms as the product, catalogs, or billing approach changes. When an update is material, we will use a reasonable way to bring it to your attention. Your continued use after an update means the updated terms apply going forward.
